How to run your PG on Nestora

Every screen, in the order you will actually meet it — from your first bed to closing the month. Written for the person doing the job, not for somebody who already knows the software.

What Nestora is

One system with three doors. Which one you use depends on who you are, and each shows only what that person needs.

Not every screen is on every plan

A module your plan does not include is absent from the menu rather than shown greyed out. If something in this guide is not on your screen, it is either not part of your plan or not part of your role. Settings › Licence tells you which.

Signing in

Two sign-ins, because two very different groups of people use the product.

Owners, managers and office staff

  1. Open the sign-in page

    Your Nestora address, then Sign in. Your first password arrives in the welcome email sent when your account was created.
  2. Enter your email and password

    You land on the dashboard. A resident who signs in here is sent to the phone app instead — the console is not for them.
  3. Forgotten it?

    Forgot password emails you a reset link. The link is single-use and expires, so ask for a fresh one rather than reusing an old email.
  4. Change it once you are in

    Your profile, reached from your name at the top right, holds your details, your password, and the devices you are signed in on.

Residents and staff

  1. Open the app address on the phone

    It ends in /m. There is no password to remember.
  2. Type the mobile number or email the PG has on record

    Either works. If the details match nobody, the screen says exactly what it says on success — deliberately, so the page cannot be used to test whether a particular person lives at your PG.
  3. Enter the six-digit code

    The code is sent by email today. Give it a minute, and check the spam folder before asking for another.

Keep email addresses accurate

A resident with no email address cannot receive a sign-in code, and cannot receive bills or receipts either. It is the most valuable field on the form.

Setting up your PG

Roughly an hour, once. Until a property has beds, the dashboard shows a three-step checklist rather than a wall of zeroes.

1 · Put your own name on it

Settings › Branding. Not decoration: this is what residents, staff and guests see, and what is printed on every invoice and receipt.

  • Display name, Tagline and Logo URL — the console header, the app, and the top of your documents.
  • Brand colour — applied across every screen, including the resident app.
  • Registered company name, GSTIN, address and contact details — the legal block on an invoice.
  • UPI ID — printed on each invoice so a resident can pay straight from the bill.
  • Invoice terms, Receipt note, Letterhead footer and Authorised signatory — the small print, written once.
  • Mobile app name — keep it short; it sits under an icon on a home screen.

Change it whenever you like

New branding propagates everywhere immediately — but documents you have already issued keep the brand they were issued with. An invoice from March still looks like March.

2 · Add the property

  1. Properties › Add property

    Name, a Short code that appears on invoice numbers, the Type, and Who can stay — men, women or anyone. Then the address.
  2. Set the geo-fence while standing at the building

    Tap Use my location rather than typing coordinates. This circle is what staff attendance and resident meal marking are checked against.
  3. Choose a radius and a tolerance

    50 m suits most buildings. The tolerance is an outer band where a check-in is allowed but flagged for you to look at, so ordinary GPS drift indoors does not stop somebody working.
  4. Decide whether being on site is required at all

    Require staff and residents to be on site turns the whole check on or off for this property.

3 · Build the rooms

Open the property and use its Bed board tab. The shape is building → floor → room → bed.

  1. Add a building

    Even a single house needs one. Call it Main block.
  2. Add each floor

    Ground floor, First floor, and so on. They can be renamed later.
  3. Add a room, and its beds at the same time

    Room number, Capacity, Monthly rent per bed, Who can stay, and Create beds now. Beds are labelled A, B, C… and count towards your plan’s bed limit.
  4. Read the board

    Every bed is a tile: Free, Held, Taken, Blocked or Repair. Tap one to take it out of service — a mattress being replaced, say — and it stops counting as sellable in your occupancy figure.

Your team & their access

Everybody gets their own sign-in. Nobody shares the owner's.

  1. Settings › Users & roles › Add someone

    Their name and email, the role they hold, and the properties they can see.
  2. Pick the role

    The role decides what a person can do. Property scope decides what they can see.
  3. Choose properties, or tick Every property

    A manager scoped to one building sees only that building’s residents, invoices, complaints and reports — everywhere in the product, totals included.
  4. Switch people off when they leave

    Switch off keeps the record and the history but ends the access. Deleting someone would take their work with them.

Setting their first password

Somebody you add is created as Invited. The self-service invitation email is not live yet, so until it is, ask your Nestora contact to set their first password.

Enquiries

Every walk-in and phone call, in one place, so you can see how many turn into residents and where they came from.

  1. Enquiries › Log an enquiry

    Name and mobile are all that is required. How did they reach you? is what makes the conversion report worth reading later, so it is worth a second of thought.
  2. Move the stage as things happen

    New → Contacted → Visit booked → Negotiating. Use Log a follow-up to record what was said, so whoever picks up the call next is not starting cold.
  3. Convert, or close it honestly

    Convert to resident carries the name, mobile, email and gender straight onto the registration form — nothing is retyped. Mark as lost asks why, and that reason is the only way you will ever know whether you are losing people on price or on location.
The enquiry list shows your conversion percentage at the top. The Lead conversion report breaks the same figure down by source.

Residents & bed allocation

Registering somebody and giving them a bed are two separate steps, because the second one is the one that starts the money.

Register the person

  1. Residents › Register resident

    Full name and a ten-digit mobile are required. Add the email — that is how they sign in and receive bills.
  2. Record the food preference

    Veg, non-veg or otherwise. The kitchen headcount uses it, and residents whose preference nobody recorded are called out on the kitchen screen.
  3. Fill in the emergency contact

    Name and mobile are required, and for good reason. Nobody wants to be looking for this at two in the morning.

Give them a bed

  1. Open the resident and choose Allocate a bed

    Only genuinely available beds appear, filtered by the room’s gender policy.
  2. Set the terms

    Moving in on, Agreement length, Monthly rent, Security deposit, Notice period and Lock-in. The rent defaults from the room but can be overridden for this person.
  3. Confirm

    The bed turns Taken, the agreement starts, the deposit is recorded as held, and the resident appears in that month’s billing run.

Two people cannot take the same bed

If two members of staff allocate the same bed at the same moment, exactly one succeeds and the other is told the bed has gone. You never have to check.

Rent, payments & deposits

Bill the whole house in one action, then record money as it arrives. Invoice numbers are gapless and nothing is ever deleted.

Bill everyone for the month

  1. Invoices & payments › Bill everyone for a month

    Choose the month and confirm. Every active resident is billed for rent and whatever recurring charges they carry.
  2. Mid-month arrivals are prorated

    Somebody who moved in on the 18th is billed for the days they were actually here, not the whole month.
  3. Run it twice and nothing doubles

    A resident already invoiced for that month is skipped, so a nervous second click is harmless.

Record a payment

  1. Record a payment

    Resident, amount, method — Cash, Bank transfer or Cheque — the date it was received, and a reference such as a UTR or cheque number.
  2. It settles the oldest bill first

    You do not pick invoices. The money goes against the oldest unpaid one and works forward, which is what an ageing report assumes.
  3. Anything left over is held as credit

    It appears on the resident as Credit held and comes off their next bill automatically.

One-off charges, and mistakes

  • One-off invoice bills a single resident for anything outside the cycle — a replacement key, a damaged wardrobe — with as many charge lines and an optional discount.
  • Cancel invoice asks for a reason and keeps the record. Invoices are never deleted, because a missing number in a sequence is exactly what an auditor asks about.
  • Overdue bills pick up late fees overnight, on the terms your plan sets — you do not have to chase them by hand.

What the invoice itself shows

Charges, subtotal, late fee, discount, total, what has been paid and what is still due — plus your UPI ID and every receipt against it. The resident sees the same document in their app.

Transfers, notice & checkout

Three actions on the resident's own page, each of which does the paperwork behind it.

  1. Move bed

    Pick the new bed and the date it takes effect, and say why. The old bed frees up and the stay history keeps both.
  2. Record notice

    The date notice was given and the date they plan to leave. The resident shows as On notice, and the bed can be shown to the next person without being double-booked.
  3. Check out

    Set the leaving date. If it falls inside the lock-in the screen says so before you go further.
  4. Settle the deposit on the same screen

    Add deductions with a reason and an amount. The panel shows deposit held, outstanding dues and deductions, and lands on either a refund to the resident or a shortfall they still owe.
  5. Complete checkout

    Note the room condition, confirm, and the final statement goes out by email. The bed becomes Free the same moment.

Kitchen & mess

Five tabs that run in order: meal times, then dishes, then the menu, then who is eating, then what you actually cooked.

  1. Meal times

    Breakfast, lunch, snacks and dinner come ready-made with serving windows. Set each one’s cut-off — how long before serving a resident can still change their mind — and the guest and staff prices.
  2. Dishes & recipes

    Add your dishes, then give each one a recipe: the items it consumes and how much. The recipe is what lets a production run deduct stock and tell you the food cost.
  3. Menu

    A week at a time, per property. Put dishes against each meal so residents can see what is coming in their app.
  4. Who’s eating

    The headcount for each meal, built from what residents have marked in the app plus guest bookings, and flagged where a resident’s food preference has never been recorded.
  5. Production

    Plan a production run against a dish and a quantity. When the meal is over, Close and deduct stock — the ingredients come out of the store you name, the expense is posted, and the run is costed.
A dish with no recipe can be planned and served, but has nothing to deduct — so stock stays put and food cost reads as zero. If your food cost percentage looks impossibly good, this is usually why.

Inventory & purchasing

What is on the shelf, what it is worth, and what is on its way.

  1. Setup, first

    Units of measure, item categories and at least one store per property arrive with your account. Rename them to match what your cook actually says.
  2. Items

    Add each thing you buy, with its unit and a reorder level. The reorder level is what puts it on the To order tab and triggers the overnight low-stock alert.
  3. Stock

    Current quantity and value per store. Adjust it when a physical count disagrees — every adjustment is recorded with a reason.
  4. Vendors and purchase orders

    Raise an order against a vendor, have it approved, then receive it. Receiving raises the stock and posts the expense against the right category in one action.
  5. Movements

    The ledger of every in and out — receipts, production deductions, wastage and adjustments. This is where you look when a number surprises you.
  6. Assets

    Geysers, beds, fans and furniture, with where each one is and who it is assigned to.

Guest meals

Selling meals to visitors without giving anybody an account. You set the terms; the system holds the seat, takes the money and issues a single-use code.

  1. Switch it on

    Guest meals → Taking guest bookings. Set the guest price for each meal on the kitchen’s Meal times tab; a meal with no guest price is not sold.
  2. Protect the kitchen

    Guest places per meal is the cap. Set it to what your cook can absorb without a second thought.
  3. Decide the holds and refunds

    Hold unpaid bookings for frees an unpaid seat after N minutes. Free cancellation until and Late cancellation refund decide what a late change costs.
  4. Decide who may book

    Guests must be at the property to book checks their location before any money is taken. Take payment before issuing the code keeps the code worthless until it is paid for.
  5. Publish the link

    Copy your booking link, or open the printable poster — it carries your brand, your QR code and four lines of instruction. Put it at the gate and on the dining-room wall.
  6. Watch the board

    Every booking shows as Awaiting payment, Paid, Collected, Hold expired, Cancelled or Refunded. Expired holds clear themselves.

Complaints

What residents have reported, and whether it is being fixed in time.

  1. They arrive on their own

    A resident raises an issue from their app and it lands here. Staff can also raise one on somebody’s behalf with Raise a complaint.
  2. Assign it to a person

    An unassigned complaint is nobody’s job. Assigning it moves it to Assigned and puts it on that person’s task list in the app.
  3. Keep the status honest

    In progress, On hold, then Resolved with a line describing what was actually done. The resident sees that line.
  4. Watch the SLA counter

    The page shows how many are past their promised time. Complaint SLA in Reports shows resolution times against the promise and what breached.

Housekeeping, visitors & gate

Cleaning, people on site, and equipment that needs servicing — four tabs on one screen.

  • Housekeeping — tasks generated per cleaning area per shift, from the areas that came with the property. Rename them, add your own, assign them, and inspect the work.
  • Visitors — who is on site right now, entered here or at the gate from a phone.
  • Gate passes — residents going out and coming back, approved where you require it.
  • Maintenance — jobs against assets, including recurring servicing. Completing one posts its cost as an expense.

Staff & attendance

Who works here, and whether they turned up — with the GPS evidence behind every answer.

  1. Team

    Add each staff member against the property they work at. That link is what lets them use the staff app at all.
  2. Attendance

    Built from real check-ins on the phone, not typed in. Present, absent, late and hours worked, per person per day.
  3. Corrections

    When somebody’s phone was flat or the GPS refused, they send a correction request from the app. You approve or decline it with a note, and the count is a badge on the tab so it does not get lost.
  4. Location checks

    Every attempt is logged, including the failures — outside the fence, mocked location, unapproved device. This is where you look when an attendance figure is disputed.
  5. Leave

    Requests and their approvals, which feed straight back into the attendance muster.

Reports

Twelve reports, each drawn from the same records the rest of the app uses — nothing is cached or estimated. Every one takes a date range and exports to CSV.

A report only ever covers the properties your account is scoped to. Two people running the same report on the same day can legitimately see different totals.

Branding, email & licence

Six cards under Settings. Branding is covered above; these are the rest.

Email

Settings › Email. Enter your own mail server — host, port, username, password and the address bills should come from — and send yourself a test before trusting it.

Without your own mail server, bills, receipts, guest codes and final statements still go out. They are sent from our server under your name, with replies coming back to you. Your own server simply makes them arrive from your own domain.

Notifications

Everything sent on your behalf, with what triggered it and whether it arrived. When a resident says they never got the bill, this is the screen that settles it.

Licence

Your plan, the features it includes, how much of each limit you have used, and the renewal date. A banner appears across the top of the console as expiry approaches — and during the grace period after it, so nothing stops the day it lapses.

The mobile app

Installing & signing in

There is nothing to download from a store. It is a web app that installs itself onto the home screen and then behaves like any other.

  1. Open the address ending in /m on the phone

    Send it to residents and staff by message. It is the same link for everyone.
  2. Add it to the home screen

    On Android, the browser offers to install it. On an iPhone, tap Share and then Add to Home Screen. It then opens full-screen, with your PG’s name and colour.
  3. Sign in with a mobile number or email

    Whichever the PG has on record. A six-digit code arrives by email.
  4. Stay signed in

    There is no password, so there is nothing to forget. Signing in again just means another code.
The app keeps working with no signal for the things that cannot wait — a staff check-in made offline is stored on the phone and sent as soon as the connection returns.

The mobile app

For residents

Five tabs along the bottom: Home, Food, Rent, Issues and Alerts.

  1. Food — say whether you are eating

    Today and tomorrow, meal by meal, with the menu against each one. Tap to switch between Booked and Skipping. After the meal’s cut-off it locks, because by then the cook has already bought the vegetables.
  2. Rent — see what you owe and what you have paid

    Every bill with its status, the amount due right now, each receipt, and the deposit the PG is holding for you. Bills carry the PG’s UPI ID so you can pay from the screen.
  3. Issues — report something that is broken

    What’s wrong?, a category, and a line such as “Geyser not heating”. You then follow it through Reported, Assigned, Being fixed and Fixed, and see what was done.
  4. Alerts — notices and reminders

    Rent reminders, notices from the PG and anything else addressed to you. The tab carries a badge until you have read them.
If your PG requires it, marking meals is only possible while you are actually at the property. Allow location access when the phone asks, or the Food tab cannot do its job.

The mobile app

For staff

Home, Attendance, Tasks and Alerts — plus Scan and Gate for the people whose job includes them.

  1. Attendance — check in when you arrive

    Tap Check in. The card shows how far you are from the PG and whether you are inside the fence, then Confirm check in records it. Check out the same way when you leave.
  2. If the check-in will not go through

    The screen says why — outside the fence, location blocked, or the phone cannot get a fix. Step outside for a clearer sky, or use Ask your manager to correct a day, which sends the date, what it should be, and what happened.
  3. Tasks — what is yours today

    Complaints assigned to you, cleaning rounds for your areas, and your own leave. Mark them done as you go.
  4. Scan — guest meal codes

    Point the camera at the guest’s QR code. If the camera will not cooperate, Type code takes the short code instead.
  5. Gate — the visitor register

    Log a visitor with their mobile, who they are here to see, and the last four digits of an ID. Mark residents out and back in. The screen always shows how many people are inside now.

Guests

Booking a guest meal

For the visitor. No account, no app, about forty seconds.

  1. Scan the poster, or open the link

    The phone camera is enough. The page carries the PG’s own name and colours.
  2. Pick the meal

    Today and tomorrow, with what is being served and the price. Meals past their cut-off, or already full, cannot be picked.
  3. Say how many people

    One tap per head, up to whatever the PG has left for that meal.
  4. Give a name, mobile and email

    The name is what gets read out at the counter. The email is where the code is sent.
  5. Allow location, if asked

    Some PGs only sell to people who are actually at the property. This is checked before any money is taken.
  6. Verify the mobile with a six-digit code

    One code to prove the number is real.
  7. Pay

    The seat is held while you do. Take too long and the hold expires and the seat goes back to the pool.
  8. Keep the collection code

    A QR code and a short code such as K3M9-PQ7X appear on screen and arrive by email. Show either at the counter.

Guests

Serving at the counter

For whoever is handing out the food.

  1. Open Scan in the staff app

    It is only there for staff whose role includes verifying guest bookings.
  2. Scan the QR, or type the short code

    The screen shows the guest’s name, the meal and how many portions.
  3. Hand over the food

    The code is single-use. A second scan says Already collected, and it will not open twice even if two people scan it at the same instant.
  4. Read the refusals as answers, not errors

    Not paid for yet, This booking was cancelled and The serving window has closed each tell you exactly what to say to the person in front of you.

What each status means

The same words appear on the console, in the app and on reports, and mean the same thing in all three.

If something looks wrong

The four things that account for most surprises, before you pick up the phone.

  • A menu item has vanished. It is either not on your plan or not in your role. Check Settings › Licence, then your role under Settings › Users & roles.
  • A total is lower than you expected. You are probably scoped to fewer properties than the person you are comparing with.
  • A screen is empty right after setup. Most screens need one thing above them first — no rooms means no beds, no recipe means no food cost, no meal times means nothing to mark in the app.
  • Somebody says an email never arrived. Settings › Notifications shows what was sent, when, and whether it was delivered.
